SEEKING NEW BOARD MEMBER FOR 2024-25 SEASON
Board Positions Open Annually
The Shakopee Boys Basketball Association (SBBA) has annual openings on the Board and is always seeking dedicated volunteers to join our team.
Our fiscal year runs June 1 through May 31 each year. Every Board member plays a vital role in ensuring the organization’s success. Your involvement allows us to:
• Operate efficiently at a high level
• Enhance programming and technology
• Continuously improve the overall experience for players and families
Note: Term lengths can be adjusted based on your availability or the number of years your player has left in the program.

Position Descriptions
The board consists of up to eleven positions including but not limited to; President, Travel Director, Recreation Director, Treasurer, Secretary, Equipment Director, Tournament Director, Communications Coordinator, Scheduling Coordinator. The Vice President determination can be attached to any of the officer roles, depending on tenure. Most Board of Director positions are 2-3 year terms.
In order to provide more clarity around approximate time commitments specific to each position for prospective candidates, two different levels of information is included in each position's description. Each responsibility for a position includes the approximate time commitment and seasonality along with a chart that reflects the overall approximate time commitment for all responsibilities combined.
President
The President oversees all of the Association and is responsible for the general business and basketball operations.
- Preside over monthly Board and annual Member meetings
- Review financials with Treasurer and Finance Committee, and approve draft budget for upcoming year
- Ensure that all Association orders and resolutions are carried into effect
- Support directors as needed and fill the duties of any vacant positions
- Confer with Vice-Presidents on Association conflicts
- Oversee all operations of hosted tournaments
- Coordinate communications with Communication Coordinator (emails, website announcements, mailings, etc..)
- Coordinate evaluation/tryout process and coach selections with Travel and Recreation Directors
- Coordinate facility scheduling needs and requests with Scheduling Coordinator
- Oversee and maintain all aspects of the website
- Collaborate with Travel Director & team managers for new season, team and schedule setup
Vice President
Support the President in carrying out the Association’s mission and objectives.
- Preside over Board and Member meetings in the President’s absence.
- Assist in overseeing the financials with the Treasurer and Finance Committee, providing input on the draft budget for the upcoming year.
- Ensure Association orders, resolutions, and initiatives are executed effectively in collaboration with the President and other Board members.
- Serve as a liaison to Directors, providing support as needed and stepping in to fulfill duties of any vacant positions.
- Manage and resolve conflicts within the Association by collaborating with the President and other key Board members.
- Assist with hosted tournaments, including operational oversight, planning, and logistics.
- Coordinate and oversee communications with the Communications Coordinator to ensure timely and consistent messaging across all platforms (emails, website announcements, mailings, etc.).
- Work closely with the Travel and Recreation Directors to assist in organizing player evaluations/tryouts and coach selection processes.
- Support facility scheduling needs in collaboration with the Scheduling Coordinator, addressing conflicts and ensuring efficiency.
- Assist in overseeing website operations, ensuring all content is accurate, updated, and aligned with the Association’s objectives.
- Collaborate with the Travel Director and team managers to assist in preparing for the new season, including team assignments, schedules, and other logistics.
treasurer
The Treasurer is responsible for all financial business of the Association, and keeps all financial records.
- Attend monthly Board meetings (2 hours/month, January-December)
- Lead monthly Finance Meetings (1 hour/month, January-December)
- Handle incoming money and deposit checks (1-2 hours/month, January-December)
- Coordinate finances, deposits, and cash flow on-site for Shakopee hosted tournaments (18-20 hours in October & 18-20 hours in January)
- Pays bills and tournament fees (10 hours total, January-December)
- Manage checking and PayPal accounts (1-2 hours/month, January-December)
- Coordinate monthly financial report distribution (Less than 1 hour/month, January-December)
- Coordinate with Finance Committee to recommend annual budget plan (10 hours total, March-April)
- Complete annual taxes (2 hours total, July-August)
secretary
The Secretary documents SBBA Meetings, Official Acts and Communicates to all Board Members. Handles correspondence for the Association as directed by the other board members, and maintains all non-financial Association records.
- Attend monthly Board meetings (2 hours/month, January-December)
- Documents and posts Board of Directors meeting minutes on the SBBA website (Less than 1 hour monthly, January-December)
- Maintains and works with board members to keep the SBBA Board of Directors' job descriptions updated. (1-2 hours total, March/April)
- Assists with the annual member meeting setup and coordinates the voting process (4 hours total, March-April)
- Assists with evaluation/tryout and registration process for all Travel and Recreation programs (3 hours/month, August-November)
- Schedule and manage travel and recreation team photography (4 hours total, October-November)
- Helps manage DIBS scheduling on Sports Engine and communication with SBBA volunteers (6 hours/month, October and January)
Travel Director
The Travel Director oversees all basketball operations related to the travel program.
- Attend monthly Board meetings (2 hours/month, January-December)
- Works with President to determine travel schedule, completes tournament registrations, and coordinates payments (10 hours/month, June-August)
- Schedule, communicate and facilitate travel program evaluations in coordination with President and Operations Committee (20-30 hours total, Aug-Sep)
- Organize travel registrations, rosters and coaches in coordination with President and Operations Committee (6 hours total, October)
- Organizes Trusted Coaches training/background checks for travel and recreation coaches (3-5 hours total, October)
- First point of contact for travel coaches and grade level liaisons when conflicts arise; work with President and Vice-President for conflict resolution (As Needed During the Season, November-March)
- Collaborate with Equipment Coordinator for all apparel and equipment needs, and help disburse to teams (10 hours total, October-November)
Recreation Director
The Recreation Director oversees all basketball operations related to Saber and Southwest Metro recreation leagues, grades 1st-8th.
- Attend monthly Board meetings (2 hours/month, January-December)
- Schedule, communicate and facilitate recreation program evaluations and operations (10 hours/month, October-February)
- Organize recreation registrations, rosters and coaches (6 hours total, October)
- Collaborate with Equipment Coordinator for all apparel and equipment needs, and help disburse to teams (10 hours total, October-November)
- Schedule Saber League game officials (4-6 hours/month, November-February)
- Conduct weekly recreation practice/game check-ins (1-2 hours/week, November-February)
- Coordinate participation in the Southwest Metro League with Eden Prairie (1-2 hours/month, August-March)
- Enter weekly Southwest Metro League game schedule and game results (Less than 1 hour/week, November-February)
- First point of contact for recreation parents or coaches when conflicts arise; work with President and Vice-President for conflict resolution (As Needed During the Season, November-February)
Equipment Director
The Equipment Director is responsible for coordinating the equipment needed for all components of the association and managing and distributing equipment necessary for all travel and recreation teams throughout all seasons.
- Attend monthly Board meetings (2 hours/month, January-December)
- Collect and inventory basketball equipment from travel and recreation teams on completion of season (2-3 hours total, February-March)
- Present needed basketball equipment (basketballs, bags, scorebooks, evaluation jerseys, etc..) purchases for the following year (1-2 hours total, May)
- Purchase and stock approved equipment orders with preferred vendors (2-3 hours total, June-August)
- Organize and provide jerseys and equipment for travel and recreation evaluations/tryouts (1-2 hours, September-October)
- Provide basketball equipment to travel and recreation coaches (2-3 hours total, September-October)
- Organize the purchase and disbursement of coaches apparel and travel/recreation player uniforms, practice jerseys and other apparel (10 hours, October)
- Manage basketball equipment needs throughout the season (As Needed/Minimal Time, November-March)
Tournament Director
The Tournament Director is responsible for all aspects of Shakopee-hosted tournaments in coordination with the Events Committee. The Director will be responsible for deciding on how to best collaborate and execute the overall duties along with the other board members.
- Attend monthly Board meetings (2 hours/month, January-December)
- Present suggested tournament format modifications related to any financial/budget impact for the upcoming year (1-3 hours total, March-April)
- Market Shakopee tournaments and manage tournament registrations and payments (15 hours total, May-June)
- Primary point of communication for participating tournament teams (10-15 hours, December-January)
- Create tournament brackets, seeding and schedule (20 hours, December)
- Coordinate tournament officials, EMT/trainers and purchase trophies (5 hours total, October)
- Coordinate with event coordinators and provide project management direction prior to and during Shakopee tournaments (40 hours, December-January)
Scheduling Director
The Scheduling Director obtains permits and schedules facilities for meetings, practices, recreation league games, hosted tournaments and all other SBBA events as needed.
- Attend monthly Board meetings (2 hours/month, January-December)
- Provide the School District with the following year's High School weekend reservation requests (1-2 hours total, January)
- Provide Spring travel teams with practice schedules (3 hours total, March)
- Provide the School District with the following year's practice schedule requests (5-10 hours total, March)
- Work with the School District to verify requested scheduling needs are met for upcoming season (2-3 hours total, June-August)
- Provide Winter recreation and travel teams with practice schedules, uploaded to Sports Engine team calendars (15 hours total, September/October)
- Support recreation and travel scheduling needs through the season (As Needed/Minimal Time, November-February)
- Submit facility permit invoices to Treasurer for payment (Less than 1 hour/month, January-December)
